Job Duties: 

  • Being a member of the secretarial pool to provide full spectrum of secretarial and administrative support to the Directors and Chairman, and assist them in business activities, scheduling appointments, meetings and events in the right priority
  • Perform and coordinate general support duties for Directorate Office
  • Participate in meetings, prepare minutes and take appropriate follow-up actions in a timely manner
  • Liaise with other executives, division heads and external parties on senior executive’s instruction and closely follow up pertinent matters in a tactful manner and handle sensitive and confidential matters in a professional and independent manner
  • Arrange logistics for meetings, functions and business trips, etc in a detailed and organized manner
  • Prepare correspondence, agenda, minutes and materials for meetings to ensure accuracy and meet strict timelines
  • Provide secretarial support to Council Secretariat, logistics support and arrangement to the Council and subcommittee meetings
  • Coordinate office management activities, maintain proper system for files and records
  • Handle enquires and make referrals where appropriate
     

Job Requirements:

  • Degree in Business Administration, Management or related disciplines with 2 years of experience or tertiary studies with substantial experience
  • 8 years or more relevant experience in providing secretarial support to senior management in sizable or multinational corporations preferred
  • Sensitive to confidential matters required and tactful in following up assignments and fostering collaborative working relationship
  • Strong analytical, organization, planning, multi-tasking and problem solving skills
  • Excellent interpersonal, presentation and communication skills
  • Mature, self-motivated, detail-oriented, independent and with sound judgment
  • High proficiency in MS applications
  • Excellent command of both spoken and written English and Chinese, including Putonghua
